Hire, buy, or take a machine that arrives at no charge while you order beans. The difference is who owns the problem when it stops, and what you are still paying when nobody is drinking.

Office coffee machine hire is a familiar product. A supplier drops in a unit, you pay a rental, and beans or pods are extra. Buying is the other path: money now, an asset later, and a service contract you have to remember. Small businesses and warehouse tea rooms get quoted the same way as open-plan offices.

What hire actually costs

The rental line is the obvious one. Consumables are a second invoice. Call-outs outside the contract can be a third. Some agreements lock you into a term that outlasts the lease. Read yours. We cannot summarise a contract we did not write.

Hire is not automatically expensive because the machine is good. It is expensive when you are paying for hardware every month whether the hopper is full or not.

What buying actually costs

A bean-to-cup unit is a capital purchase. Then it needs descaling, service, and parts. Then someone on site has to notice it is sick. Warranties vary. Do not plan on a clause we have not seen.

Buying can make sense if you already have a technician, you want that specific machine, and you will still be in the same kitchen in years to come. Most offices, warehouses, and small businesses have none of those.

What "free" means at Arico

The terms of that trade are short. Stop ordering beans and the arrangement stops. Ask any hire quote what you still pay if you leave.

Minimum terms and exit

Ask how long you are in for, and what you pay if the site moves. Ask whether beans or capsules are exclusive, and what those cost on your invoice, not on a brochure.

How to choose

If you want a particular two-group and a staff barista, hire or buy from a traditional supplier. If you want a button drink on site so people stop buying their own, and you do not want a rental on the P&L next to the coffee, Arico's free machine is the cleaner structure.

Run the per-cup numbers on whatever you have now. Then look at whether you are also paying rent on the hardware.
