Ordering coffee beans by the kilogram
Office coffee beans, and commercial coffee beans for a hopper, are a kilogram problem. A 200-gram bag is a household unit. A machine in an office, a warehouse tea room, or a small shop is not a household.
Buying by the kilogram sounds like a warehouse habit. It is just the unit that matches how a machine drinks.
Why the small bag fails
A 200-gram bag looks tidy. On a bean-to-cup machine, at about 7 grams a cup (a planning figure), it is a couple of dozen drinks. A small office will finish it in a couple of days and someone will duck out for another. That is how you end up with four brands in a cupboard and no idea which one is in the hopper.
How much a 20-person site drinks is the planning number. Kilograms are how you buy against it.
What a kilogram is in cups
At 7 grams, a kilogram is in the region of 140 cups. That is a working example. A longer shot or a stronger dose shortens the bag. Two cups a day for twenty people is 40 cups a day in that example, so you will want several kilograms on a monthly order, not one heroic bag.
Freshness still wins over bulk
A kilogram is not an excuse to buy 20 kilograms because the unit price dropped. Beans fade. Supermarket versus freshly roasted and storage are the two checks. Monthly delivery exists so the kilogram you open is still worth opening.
One coffee, not a tasting shelf
Kilograms work when the hopper has one job. Four open kilograms of four blends is a cupboard, not a plan. Pick a coffee the floor will drink, order that, and change it on purpose.
If part of the floor wants decaf, raise it on the call before the order is built around one coffee.

If you are still buying 200-gram bags at lunchtime, you are running out on purpose. Move the unit up. Keep the calendar at a month. The kilos on the machine plan are the ones that stay in the hopper instead of the aisle.
